This page brings together the main points guests usually need before confirming a safari, trekking trip, beach holiday, or tailor-made itinerary with Kedani. Your final invoice and travel confirmation remain the documents that govern your exact booking.

Booking Deposit

Kedani currently confirms reservations with a 50% deposit. The remaining balance is due 65 days before arrival, or in full for later bookings.

Written Changes & Cancellations

Booking changes and cancellations should be made in writing. Phone cancellations are not treated as valid until confirmed in written form.

Travel Insurance Recommended

Guests are strongly encouraged to carry suitable travel, medical, and luggage insurance before departure.

Accommodation

Rooming is generally based on two guests sharing. Single rooms may be available at an added supplement.

  • Named lodges, tented camps, and hotels indicate the intended standard, but similar alternatives may be used when needed.
  • Specific room or bed requests depend on availability and may involve extra cost.
  • Where possible, Kedani discusses accommodation changes in advance and works around guest preferences.

Transportation & Guiding

Vehicle type depends on route, group size, and terrain, and may include safari Land Cruisers, coaches, saloon cars, or other suitable transport.

  • If a vehicle breaks down, a replacement is arranged as quickly as practical.
  • Driver-guides speak English and some are multilingual.
  • Kedani may use trusted subcontractors for part of the service delivery.
  • Self-driving by guests is not permitted during operated trips.

Tour Price & Exclusions

Quoted prices cover the services described in the agreed itinerary and included services list at the time of booking.

  • If the itinerary or service scope changes, the final price may change too.
  • Personal expenses such as tips, laundry, calls, soft drinks, alcoholic drinks, visas, and international flights are generally excluded unless stated otherwise.
  • Airport or government charges outside the agreed package may also remain outside the tour price.

Booking Confirmation & Payment

Kedani issues a travel confirmation and invoice covering the agreed itinerary, accommodation plan, transfers, and other booked arrangements.

  • A 50% deposit is required to confirm the reservation.
  • Full payment is required for bookings made 65 days before arrival or closer to travel.
  • Payments may be made by bank transfer, wire transfer, or approved online card gateway, with bank fees borne by the guest unless agreed otherwise.
  • Only the amount that actually reaches Kedani’s account counts as paid.

Late Booking & Availability

Accommodation, flights, and transport are secured after the deposit is received, so availability can change in the meantime.

  • If a lodge, hotel, or transport option is no longer available, Kedani will propose a suitable alternative.
  • Changes in supplier availability can lead to itinerary or price adjustments.

Changes, Surcharges & Force Majeure

Tour rates are based on costs known at the time of quotation and may need adjustment when external costs change.

  • Government levies, taxes, park fees, exchange-rate changes, transport costs, or airport and port charges may result in surcharges.
  • Kedani may also need to alter services or scheduling at short notice because of safety, road conditions, border restrictions, weather, or other events outside its control.
  • The team aims to communicate changes promptly and minimize disruption where possible.

Cancellation Rules

Cancellations should be sent in writing, and the cancellation date is based on when that written notice is received.

  • Email is the preferred and fastest cancellation method.
  • No-shows are treated as cancellations from the expected arrival date.
  • Unused services, early departure, or missed arrangements after the trip starts are generally non-refundable.
  • Supplier fees from hotels, airlines, or other booked services may still be charged in addition to Kedani cancellation costs.

Indicative Cancellation Charges

The live Kedani policy currently lists the following cancellation ranges for land arrangements, with ticketed flights potentially treated separately.

  • Up to 65 days before departure: 50% of the deposit retained.
  • From 65 to 50 days before departure: 50% of the deposit retained.
  • From 50 days before departure onward: 100% of the tour price retained.
  • If airline tickets are already included in the deposit, their full cost may still apply.

Guest Responsibilities

Guests are expected to cooperate with Kedani staff and all third-party providers involved in the journey.

  • Travelers must carry valid passports, visas, vaccination records, and other required documents.
  • Guests are expected to respect local cultures, customs, and the laws of the countries visited.
  • Kedani may refuse or terminate participation if a traveler endangers others, damages property, or behaves in a way that seriously disrupts the trip.

Liability, Insurance & Complaints

Kedani acts as an agent for many travel services and cannot accept responsibility for every delay, loss, or disruption connected to external providers.

  • Liability for guests carried in Kedani-operated vehicles is governed by the laws of the country where the safari takes place.
  • Luggage remains the guest’s responsibility, even when every care is taken.
  • Guests should raise complaints during the trip with their guide or local representative so the issue can be addressed promptly.
